Who we are

Wilson Reach Ltd is the data controller for everything on this page. We are registered in England and Wales, company number 17429738. Our registered office address is available on request, by email or phone.

Emails we send to businesses

We contact letting agents and short-let operators to offer a free sample walkthrough of one of their own properties. That is the whole of our marketing.

What we hold

• The business name and a business email address, the one the business publishes for enquiries.
• Where the business publishes it, the name and job title of the person who handles lettings, together with the page we read it from.
• A record of what we sent and when, plus any reply or bounce.

Where it comes from

The business's own public website, every time. We do not buy or rent lists, we do not scrape social profiles, and we do not guess an address or a name from a pattern. If a name is not published on the company's own site with a page we can point to, we do not use it.

Why we are allowed to

Our lawful basis is legitimate interests, Article 6(1)(f) UK GDPR. The interest is telling a business about a service aimed directly at the work it already does, at a published work address, in small daily volumes.

We have weighed that against your interests and consider the impact low: the message goes to an inbox published for unsolicited business enquiries, it says plainly who it is from and why, it asks nothing of you, and it stops on request.

Who we do not email

The above covers limited companies and limited liability partnerships. It does not cover a sole trader or an unincorporated partnership, because the rules on unsolicited marketing email treat those addresses as belonging to an individual, and legitimate interest on its own is not enough. So we do not cold email them at all. If we want to introduce ourselves to a business of that kind, we ring them instead.

How to stop hearing from us

The DO NOT SEND list

When someone asks not to be contacted, or an address turns out to be dead, we put that address on a suppression list we call DO NOT SEND. It is checked before every send, and nothing on it is contacted again.

We keep it indefinitely, and we use it for one purpose only: making sure we do not email you again. Deleting the entry is the thing most likely to get you emailed by mistake, which is why we keep it rather than erase it. If you would rather we removed the record itself, ask and we will, and we will tell you what that means.

The list holds the address, the business name, the date, and whether the entry came from an opt-out or a failed delivery. Nothing else.

Information clients give us

To make a walkthrough we use the listing photographs and listing links you send us, plus the contact and billing details we need to invoice you.

We use them to produce and deliver your video and to keep our accounts, and nothing else. We do not sell them, and we do not share them with anyone who is not needed to do the work. Where a property photograph shows a person, tell us and we will leave that photograph out.

We only use a client's finished walkthrough as a public sample if the client has given us permission in writing for that specific property.

How long we keep things

• Prospect records: while the prospect is live, and for up to two years after the last contact.
• DO NOT SEND entries: indefinitely, for the reason above.
• Client files, invoices and accounting records: six years after the end of the accounting period they relate to, because company and tax law requires it.
• Source photographs supplied by a client: kept while we are working for that client, and deleted on request once the work is delivered.

This website

This site sets no cookies. It runs no analytics, no advertising pixels and no visitor tracking of any kind. Nothing you do here is recorded by us.

It does load its typefaces from Google Fonts, which means your IP address reaches Google when a page loads. The sample videos are served from this site, not embedded from a third party. Our website host keeps ordinary server logs, as every host does.

Your rights

Under UK data protection law you can ask us to:

• give you a copy of the personal data we hold about you;
• correct it if it is wrong;
• delete it;
• restrict what we do with it;
• send it to you or to someone else in a portable form;
• object to processing based on legitimate interests, which covers all of our outreach.
